They are seeking a Virtual Office and Financial Support Specialist to join their team in ensuring the smooth operation of their office. The Office and Financial Support Specialist will play a key role in supporting the Chief of Staff across a range of responsibilities, from bookkeeping to general office tasks. This role is designed for a proactive individual who can juggle multiple tasks efficiently in a dynamic environment. The ideal candidate will be organized, detail-oriented, and eager to contribute to the smooth operation of our office. Responsibilities: 1. Bookkeeping Enter invoices and manage accounts payable/receivable. Pay weekly, and monthly invoices Reconcile accounts regularly to ensure accuracy. Assist in the preparation of monthly financial reports. 2. General Office Support Manage office supplies and place orders as necessary. Assist with phone and email inquiries, directing them to the appropriate department or individual. Coordinate mail and package deliveries. 3. Meeting and Event Coordination Assist the Chief of Staff in scheduling and preparing for meetings. Coordinate logistics for internal and external events, including venue booking, catering, and equipment setup. 4. Research and Reporting: Conduct research on topics or projects as directed by the Chief of Staff. Compile data and prepare reports or presentations as needed. 5. Digital File Management Organize and maintain digital files, ensuring easy access and backups. Assist in the implementation of digital tools or software to improve office efficiency. 6. Employee Onboarding Assist with the onboarding process for new hires, including preparing materials and coordinating orientation sessions. 7. Miscellaneous Tasks Support the Chief of Staff with ad-hoc projects and tasks as they ariseRequirements At least 2 years of work experience as a General Admin Assistant or related roles. Basic understanding of bookkeeping and financial processes. Strong organizational and multitasking skills. Proficiency in, e.g., Google platform, QuickBooks. Excellent English communication skills, both written and verbal.
